GENERAL NOTES:

All bookings made through Florida Travel Network, inc (FTN) are subject to the terms and conditions stated herein.

All rates quoted in this tariff are confidential, net non-commissionable, in US Dollars and include all applicable taxes and service charges. Rate changes may become necessary due to increases in taxes or other charges and FTN reserves the right to alter rates published in this tariff. In general, each hotel states special event, holiday or convention rates. Should FTN only be able to obtain a higher rate over any special event, holiday or convention date, not published in this tariff, FTN reserves the right to confirm a higher rate at time of booking.

If necessary, FTN will upgrade clients to hotels of similar or higher standard.

Energy surcharges: Please be aware that if necessary, the hotels reserve the right to charge clients an energy surcharge which is payable directly at the hotel.

The hotels reserve the right to cancel included services offered, e.g. breakfast. There will be no refunds if such services are not provided by the hotels or not used by the passengers.

FTN acts only as an agent and does not manage any hotel, restaurant or other service establishment. FTN does not assume liability for injury, loss or damage etc. through actions of any of our contracted partners. It is recommended that passengers purchase appropriate insurance.
- FTN shall not be held responsible for the consequences of Acts of God, fire, weather conditions, unavoidable accidents, theft, labor disputes, public commotion, war or any other circumstance beyond the control of FTN.
HOW TO BOOK RESERVATIONS :

2. All reservations should be sent via fax, e-mail or internet and include the following information:

Client name including first name or initial (Please Note: We require one lead name per room and cannot confirm reservations without first names or initials.)

Room type (single, double, triple, or quad). Please note, that bedding configurations in the specific room type booked cannot be guaranteed! Connecting rooms are on request only and will not be guaranteed by hotel.

Number in party (please indicate if children are in the party including ages of children. Please see children's policies noted with each property).

Arrival and departure date

Name of Home, Condo, hotel and category you would like to book.

3. TRIPLE OCCUPANCY:
- An additional person charge (if available) is stated with each hotel. Please note that properties do not automatically guarantee a separate bed. Rollaway beds are frequently available and the charge (minimal) is due directly to the hotel.
4. CHILDREN POLICY:
- The children policy (where available) is mentioned with each property description. Please note, that children under the age stated will stay free in the same room with the adults sharing existing bedding.

5. AMENDMENTS/MODIFICATIONS:
- Please be aware that the hotels reserve the right to deny any kind of booking modification over critical blackout dates. This also applies to name changes and night reductions. Therefore, please do not confirm any booking modifications to your clients until you have a written confirmation from FTN. We will always request the modification with the hotel and try our utmost to get it confirmed over blackout dates but since there is no guarantee, we cannot be held responsible should you confirm a modification to your clients without written confirmation from us.
6. COMPLAINTS:

Should your customers be dissatisfied with any accommodation or service during their travel through the U.S., they are asked to immediately inform the supplier/hotel or contact our offices. In case we are unable to resolve the problem on the spot, please forward your complaint in writing to our offices within 30 days of completion of travel.
- It is essential that all your travel documents provide your customers with our contact information, in case of a problem. If your customers fail to contact us or the supplier with their problem, we cannot accept responsibility for any inconveniences, as we were not given the opportunity to rectify the situation immediately.
HOW TO HANDLE CANCELLATIONS:
1. CANCELLATION POLICIES:
- For all cancellations for individual rooms, FTN’s reservation department will fax or email you a cancellation confirmation, acknowledging the receipt of the canceled room. If you do not receive a return confirmation from us, do not assume that we received your transmittal! Please understand that we are unable to waive any no-show fees unless you are able to provide us with our aforementioned cancellation confirmation. Therefore, please always make sure that you do receive a cancellation confirmation from us.
2. HOME AND CONDO PRODUCT
- Cancellations : High & Peak Season: 30 to 15 days is 50%, 14 days or less 100% . Low season: 14 days is 50%, 7 days or less 100%
3. F.I.T. HOTELS:

Our product line includes a number of unique properties with very limited room capacity which result in a variety of cancellation policies.

Unless otherwise stated:

Up to 4 days prior to arrival- No cancellation penalty.
- 0-4 days prior to arrival/no shows- One night cancellation fee.
4. GROUP BOOKINGS:
- Cancellation policies vary. We will advise at time of confirmation.
5. SPECIAL CANCELLATION POLICIES:
- FTN reserves the right to charge special cancellation fees for particular bookings of five (5) rooms or more and/or over certain holiday or event dates. Those special conditions will be advised at time of booking.
HOW TO HANDLE VOUCHERING:
1. VOUCHERS FOR F.I.T. BOOKINGS:
- If issuing your own vouchers for F.I.T hotels. Vouchers need to clearly state
"Reservation and payment for room and tax only by Florida Travel Network" and FTN’s booking number.
HOW TO PAY:
1. PREPAYMENT:
- For all bookings FTN requires full prepayment no later than twenty-one (21) days prior to arrival date (unless other terms have been agreed). (for groups special prepayment conditions will apply and will be stated at time of confirmation). Reservations which have not been fully prepaid by that date will be automatically cancelled.
2. LATE BOOKINGS:
- Bookings made less than 15 days prior to arrival can only be accepted if you have established a floating deposit or Letter of Credit with FTN which covers the entire booking amount or if prepayment can be sent via overnight service. Prepayment for last minute bookings within 15 days can also be made by credit card (Master or Visa). Please be aware that FTN reserves the right to charge a late booking handling fee of 3% of the total payment amount which is non-refundable in case of cancellation.
3. SPECIAL PAYMENT CONDITIONS:
- For certain clients and/or bookings, prepayment more than 15 days might be required and will be advised at time of booking.
4. WHERE TO PAY:
- All payments are due in US dollars. Checks have to be drawn on a US bank and should be mailed to the FTN Headquarters office at the address listed above. Please contact our accounting department at safeiah@floridatn.com for wire transfer information:
5. GENERAL PAYMENT INFORMATION :

All service fees charged to FTN by credit institutes for wire transfers, check deposits and/or establishing of Letter of Credit are your sole responsibility and will be billed back to you upon FTN’s discretion. Fees billed back to you are due upon receipt of invoice.
- A floating deposit or Letter of Credit is recommended to assure that late bookings can be processed and to qualify you for direct billing. Please inquire about details to establish a floating deposit or LOC with FTN.
Once a floating deposit or letter of credit is established, you will have the privilege of direct billing, meaning all invoices are due within but no later than 21 days after guest arrival(or by the date agreed), provided the amount of your established float or LOC covers the balance of all outstanding invoices for 21 days. In case the amount of your float or LOC is not sufficient FTN reserves the right to require prepayment or an immediate increase of your floating deposit or LOC amount
